Administrative Position
Position
Summary
This position is responsible for answering the
telephone with a delightful tone in a timely manner. It is also responsible for facilitating walk
in customers, vendors and guests.
Remember, you are the first impression of our customers, either on the
phone or in person.
Essential
Duties and Responsibilities
·
Promptly
and professionally answer all incoming telephones and route them to the
appropriate person.
·
Your
cell phone is a distraction – please keep it put away during working
hours.
·
Promptly
and professionally direct all visitors to the office to the appropriate person.
·
Fold
and stuff invoices and statements as needed.
·
Open
only checks from mail and deliver all other mail to Controller.
·
Post
A/R accounts with mailed in checks to the appropriate accounts and process
daily deposit.
·
Schedule
outsource service calls when needed.
·
Ensure
that outgoing mail has postage and is picked up.
·
Continued
training on E-automate to learn more about the business and processes.
·
Input
of toner orders and service calls into E-automate from phone calls.
·
Company
envelope re-orders; ensure we do not run out.
·
Shred
weekly for the General Manager/office staff as needed.
·
Your
desk area should be kept clean and organized at all times.
·
Before
company meetings and events, make sure chairs are set up the night before.
·
After
company meetings or events, keep showroom clean and tidy. Make sure all trash has been picked up and
chairs are back in place.
·
Conference
room needs to be kept clean and tidy after each use.
·
At
day’s end, turn off the break room coffee pot, turn off showroom and conference
room lights, TV monitor, and secure and lock both front doors.

Dress
appropriate and presentable to reflect a business image to represent MOEbiz when
dealing with the public.
Minimum
Requirements
- High school
diploma or GED equivalent
- Minimum of one year receptionist,
secretarial experience or equivalent.
- Professional appearance and
demeanor.
- Strong verbal and written
communication skills.
- Computer literate and able to type
40 wpm.
- Proficient in the use of Windows,
Microsoft Word, Excel and the Internet.
